Job Description

The Medical Scheduler plays a vital role in ensuring smooth and efficient patient care operations. This position is responsible for coordinating patient appointments, managing provider schedules, verifying insurance information, and communicating professionally with patients, providers, and clinical staff. The ideal candidate is highly organized, patient-focused, and excels in a fast-paced medical environment.

Key Responsibilities

Patient Scheduling & Coordination

  • Schedule, reschedule, and confirm patient appointments across multiple providers and departments.

  • Coordinate referrals, follow-up visits, and procedure scheduling according to clinical protocols.

  • Ensure accurate capture of patient demographics, insurance information, and appointment details.

Communication & Customer Service

  • Serve as the first point of contact for patients via phone, email, or patient portal.

  • Provide exceptional customer service and maintain a courteous, empathetic demeanor.

  • Communicate appointment requirements, prep instructions, and necessary documentation to patients.

Administrative Support

  • Manage daily provider calendars, ensuring accuracy and minimizing scheduling conflicts.

  • Work collaboratively with clinical teams, billing departments, and administrative staff.

  • Maintain compliance with HIPAA, internal policies, and healthcare regulatory standards.

Data & Record Management

  • Input and update information in the Electronic Medical Record (EMR) system.

  • Review documentation for accuracy and follow up on incomplete or missing records.

  • Assist with insurance verification and prior authorization workflows when needed.

Qualifications

Required

  • High school diploma or equivalent.

  • 1–2 years of experience in medical scheduling, medical office administration, or patient access.

  • Proficiency with EMR systems (e.g., Epic, Cerner, Athena, eClinicalWorks).

  • Excellent communication skills and a patient-centered approach.

  • Strong organizational, multitasking, and problem-solving abilities.

Preferred

  • Experience working in a specialist, multi-provider, or hospital-based environment.

  • Familiarity with insurance plans, referral processes, and benefits verification.
